Safety Guidelines

Event OverviewThe SMEC Ghost Train is an outdoor Halloween event featuring model railways in a spooky setting. Your safety and enjoyment are our priorities.

Age &Supervision Requirements

  • Recommended minimum age 3+ at parent/guardian discretion when accompanied by a responsible adult
  • Adults must supervise their children at all times
  • Children under 16 must remain with an adult throughout the event
  • Children under 13 years of age or 1.2 metres in height must be accompanied by an adult on the ghost train ride attraction at all times

Weather &Outdoor Conditions

  • This is primarily an outdoor event - dress appropriately for the weather
  • Wear warm,waterproof clothing if rain is forecast
  • Non-slip footwear recommended as paths may be uneven or damp
  • Event may be modified or cancelled in extreme weather conditions
  • No refunds for mild weather discomfort

Costume Guidelines

  • Halloween costumes are encouraged and welcome!
  • Costumes must not obstruct vision or movement
  • No masks that completely cover the face (safety and identification purposes)
  • Avoid loose trailing items that could catch on railway equipment
  • No realistic weapons,sharp objects,or dangerous props
  • Comfortable walking shoes required - avoid impractical costume footwear

Health &Medical Considerations

  • Contact us in advance if you have mobility requirements or accessibility needs
  • The event features sudden sounds,flashing lights,and spooky effects
  • Not recommended for those with severe anxiety,claustrophobia,or epilepsy
  • Please inform staff immediately if you feel unwell during the event
  • First aid is available on-site

Locomotives &Train Configuration

  • Live Steam Locomotives:Traditional coal-fired engines - please be aware of hot surfaces and steam
  • Diesel Battery Electric Locomotives:Modern electric power for quieter operation
  • Train Capacity:Varies from 3 passengers (Single Truck) to 7 passengers (Double Truck)
  • Adult Supervision Required:Each truck must have a responsible adult accompanying minors and children under 1.2m
  • Locomotive assignments are made for operational and safety reasons - passengers cannot choose their train type

Railway and Train Safety

  • Stay on designated paths and behind safety barriers at all times
  • Do not touch or lean over railway equipment or tracks
  • Keep hands and loose clothing away from moving models and hot surfaces
  • Follow all instructions from SMEC staff and volunteers immediately
  • No climbing on railway structures or equipment
  • Fully enclosed footwear required (no sandals or open-toed shoes)
  • Passengers must keep feet on footboards and sit upright
  • During the attraction,All Passengers MUST "REMAIN SEATED AT ALL TIMES - DO NOT LEAN OVER AND KEEP FEET ON BOARDS • KEEP ARMS IN,NO LEANING OVER TAKING SELFIES,HOLD YOUNG CHILDREN &BABIES SECURE ON THE SEAT INFRONT OF YOU"

General Safety Rules

  • Follow directions from SMEC staff,volunteers,and stewards at all times
  • Emergency exits are clearly marked - familiarize yourself with their locations
  • No running in the event area - paths may be uneven
  • Keep noise levels appropriate - excessive noise may result in removal
  • No alcohol,illegal substances,smoking or vaping anywhere on the premises
  • Lost children protocol:Report to nearest SMEC volunteer immediately

Photography &Filming

  • Due to the nature of the attraction and for your safety,photography and filming will not be permitted whilst the trains are in motion. There will be safe photo opportunities onsite during the event.

CCTV

  • CCTV is in operation on site for the safety and security of our club members and visitors,as per our CCTV Policy.
  • Images are recorded on a continuous 30 day loop. They will only be kept subject to an access request. Please refer to our CCTV policy (viewable on request) for details and see the Privacy Policy.

Emergency Procedures

  • In case of emergency,locate the nearest SMEC volunteer or staff member
  • Emergency assembly point is clearly marked at the main entrance
  • Do not leave the event area without informing staff if emergency evacuation occurs
  • Do NOT call 999 yourself - consult with the Stewards/First Aider Stewards and Event Organiser and follow their direction,as SMEC will call 999 if required and control the emergency
  • Event emergency contact:Available from any SMEC volunteer

Liability &Insurance

  • SMEC has public liability insurance covering normal event operations
  • Visitors attend at their own risk for personal property and non-negligent incidents
  • Report any accidents or incidents to SMEC staff immediately
  • Parents/guardians are responsible for their children's behaviour and safety

Weather Contingency

  • Event continues in light rain - please dress appropriately
  • Severe weather may require temporary suspension or cancellation
  • Updates will be posted on our website and social media channels
  • Alternative indoor activities may be provided during weather delays

Safeguarding PolicySMEC recognizes its responsibility to individuals who are either children or vulnerable adults. Children under 16 must be accompanied by an adult when on club premises. We define a vulnerable adult as anybody over 18 and a vulnerable child as anybody under 18;who is in need of community care due to mental or physical disability,and recognize that any person can become temporarily vulnerable due to ill health,medication,or effects of aging. We will ensure that all individuals are treated with dignity and respect. Please ensure that you help us to help you,to assist with safeguarding children and vulnerable adults by reporting any concerns to any of our volunteers,stewards or staff.

Awareness &ProtectionAll individuals should remain aware of risks to children and vulnerable adults. Abuse is not confined to physical or sexual acts,but also includes psychological abuse such as threats,intimidation,humiliation,name calling,theft,coercion,or deliberate neglect,as well as discriminatory abuse based on religion,race,sexual orientation,or physical and mental disability. Please report any concerns or observations to any of our volunteers,stewards or staff.
